What each Japanese school record shows
Japanese institutions issue several separate certificates rather than one combined document. The graduation certificate confirms the programme, the faculty or department, and the date of completion, and carries the seal of the school head or university president. The academic transcript lists subjects, credits, and marks, often with a legend explaining the grading scale and, for universities, the degree conferred. The enrolment certificate states current student status and the expected date of completion, which is what visa offices usually want from a student still studying. Schools also issue certificates of expected graduation and, for some programmes, records of attendance. Each is a separate document with its own seal, and each is priced per page of the original.
Names, dates, and seals
School records print dates in the Japanese era calendar and give names in kanji, which means the name on your transcript may not match the romanised name in your passport unless the translation handles it. Dates are converted to the Gregorian calendar, and names are rendered in the spelling that appears in your passport when you tell us what it is. Seals, embossed stamps, and the signature blocks of the school head are recorded in the translation as what they are, in the position they occupy on the original, so the receiving office can see that the document was formally issued.
How much does a diploma or transcript translation cost?
Translation costs $24.95 per page of the original document, which includes our signed Certificate of Translation Accuracy and standard delivery within 48 hours. A graduation certificate is normally a single page; transcripts are usually one or two. Orders of three or more documents receive 10% off, and five or more receive 15%, which covers the typical case of a certificate and transcript from more than one institution. Common questions
Which documents should I order?
It depends on what the receiving body asked for. A graduation certificate (sotsugyo shomeisho) states that you completed the programme and when. An academic transcript (seiseki shomeisho) lists your subjects and marks. An enrolment certificate (zaigaku shomeisho) states that you are currently a student. Credential evaluation services usually want both the graduation certificate and the transcript; universities often want the transcript alone. Send what you have and we will quote each document separately.
Do you convert grades or calculate a GPA?
No. The translation reproduces the marks, credits, and grading scale exactly as the school printed them, including any explanatory legend on the transcript. Converting a Japanese scale into a foreign one is an assessment, not a translation, and it is the job of the evaluation service or admissions office receiving your file.
My evaluation service says documents must come directly from the school. Does that affect the translation?
It can, so check before ordering. Some credential evaluation services and universities require the original records to be sent to them by the issuing institution in a sealed envelope, and accept a separate translation alongside that sealed package. Others accept documents you submit yourself. The requirement varies by organisation, so confirm the submission route with them first and order the translation for the copies you are allowed to handle.
How many pages will a transcript come to?
Japanese transcripts are usually one or two pages for a single degree, though transcripts covering several years of subject-by-subject marks can run longer. Pricing is per page of the original, not of the finished translation, so the quote is fixed once we see the scans. Discounts start at three documents.
