Certified translation of Japanese tax and income certificates
Proving your income to a visa office, a lender, or a pension authority abroad usually means producing the Japanese documents that record what you earned and what tax you paid. Send scans of the slips and certificates you have been asked for, and we will email your certified translation and signed certificate of accuracy in PDF and Word formats within 48 hours of payment. Pricing is per page of the original, and because these documents are commonly ordered for several tax years at once, discounts start at three documents.

What each Japanese tax document shows
Japan splits income evidence across several issuers, which is why applicants are often asked for more than one document. The withholding tax slip comes from the employer at the end of the tax year and lists gross salary, the deductions applied, the taxable amount after the employment income deduction, and the income tax withheld. The municipal income and taxation certificate comes from the city or ward where you were registered on 1 January and states the income the municipality assessed and the resident tax charged on it. The tax payment certificate comes from the national tax office and confirms amounts assessed and paid, which is what lenders and some visa routes want when payment itself has to be shown. Employers also file a payroll report (kyuyo shiharai hokokusho) with the municipality, in a format close to the withholding slip, and that document turns up in older records.
Figures, eras, and layout
Tax documents are dense grids of labelled boxes, and the label matters as much as the figure: an amount in the wrong box reads as a different kind of income. The translation keeps the structure of the original form, with each box in the position it occupies on the Japanese document, so the reader can compare the two side by side. Tax years are printed in the Japanese era calendar and are converted to the Gregorian calendar. Amounts are reproduced in yen exactly as printed, without conversion to another currency, because an exchange rate applied by the translator would be a figure the original does not contain.
How much does a tax certificate translation cost?
Translation costs $24.95 per page of the original document, which includes our signed Certificate of Translation Accuracy and standard delivery within 48 hours. Withholding slips and municipal certificates are almost always a single page each. Because these are usually ordered by tax year, a three-year set comes to three documents with 10% off, and a five-year set receives 15%. Common questions
Which document should I order?
It depends on what the receiving body asked for. The withholding tax slip (gensen choshuhyo) is issued by your employer and shows one year of salary and the tax withheld from it. The municipal income and taxation certificate (kazei shomeisho) is issued by your city or ward office and states your assessed income and resident tax. The tax payment certificate (nozei shomeisho) is issued by the tax office and confirms that tax has been paid. If you filed a return yourself, the final return (kakutei shinkoku) covers income the slip does not. Send what you have and we will quote each document separately.
I need several years. Is each year a separate document?
Yes. A withholding slip or income certificate covers one tax year, so three years means three documents, each priced per page of the original. This is the usual pattern for visa financial requirements, and it is why the discount tiers matter here: three documents receive 10% off and five receive 15%.
My Individual Number (My Number) is printed on the document. How is that handled?
The translation reproduces what is on the original, so a printed number appears in the translation. If you prefer it not to, send a copy with the number masked before you order, and the translation will record that the field is masked. Many issuing offices will also produce a copy with the number omitted on request. Either way, we do not add or remove anything beyond what your copy shows.
Will the visa office accept a translated withholding slip as proof of funds?
That decision rests with the receiving body, and what they will accept as evidence of income or savings differs by country and route. Some ask for bank statements rather than tax documents, some want both, and some specify a period the evidence must cover. Confirm what your authority requires before ordering so you pay only for the documents they will take.
